The Tri-City Eagles Board of Advisors assists the club’s Board of Directors by providing strategic advice and dynamic perspectives related to the operation of the club. In addition, each advisor plays a role in the overall management of the club, bringing their extensive experience and knowledge to the forefront of their specific volunteer role.

Roles & Responsibilities

Chief Operating Officer & Hockey Director - Appointed by the Board of Directors, ongoing 


The hockey director’s primary responsibilities are broadly outlined as:
1.    Guide overall player development;
2.    Oversee coaching staff to maintain the player development plan;
3.    Manage the day-to-day club operations.


Additional responsibilities:
- Liaise with all board of director members ensuring continuity among the positions and strong lines of communication

- Work closely with the club registrar, Jen McMennamin (registrar@tricityeagles.com)

- Oversee & work with Girls Hockey Director and House Hockey Director

- CBHL Representative including attending all meetings

- Safesport/CEP/Positive Coaching Alliance Coordination

- Appoint team managers 

- Oversee yearly club tryouts 


Communication & Marketing Director - 


Oversight and management of:
1. Club-wide emails
2. Website content 
3. Social Media posts 
4. Newsletter production


Responsible for marketing of tryouts for travel programs, house hockey program and Let's Play Hockey.


Understanding/familiarity with MailChimp, Crossbar (web platform), Facebook advertising and Google Adwords helpful in this position.

     

Community Outreach & Special Events Director


Plan and coordinate of all membership events:

-    Fundraise for TCE and ASHA

-    Community Outreach

-    Special events including:   

     -    Tryout coordination    

     -    Annual holiday party    

     -    TCE new season kick off day    

-    Team and individual photos 


Alumni relations:

- Coordinate alumni game during holiday party

- Continue to build alumni list

- Create ongoing interaction between alumni and club related to all current events


Girls Hockey Director - Appointed by the Board of Directors, ongoing

 

The Girls Hockey Director acts as a liaison between the TCE Girls families and the TCE Advisory Board, while maintaining a position on the Board. 

 

Responsibilities include: 

- Recruitment/ selection of coaching staff

- Oversight of girls tryouts and selection of team

- Maintaining practice curriculum

- Working with coaches to conduct the TCE development plan

- Assisting with on-ice practices as well as games

- Acting as the point of contact for all TCE Girls matters, including CBHL meetings, parent concerns, and outside inquiries

- Working closely with Tri-City Eagles Hockey Director and COO Russell Smith.


House Hockey Director - Appointed by the Board of Directors, ongoing


The House Hockey Director acts as a liaison between the House families and the TCE Advisory Board, while maintaining a position on the Board. 


Responsbilities include: 

- Maintaining practice curriculum

- Working with coaches to conduct the TCE development plan

- Assisting with on-ice practices

- Acting as the point of contact for all House matters, including CCHL meetings, parent concerns, and outside inquiries

- Working closely with Tri-City Eagles Hockey Director and COO Russell Smith.


Master Scheduler 


Prepare, maintain and manage the TCE travel and house team schedules.


Before the Season (End of July through August) 
1. Work with other hockey club schedulers to schedule 10U and above Tri-City Eagles CBHL league and non-league games. 
2. Work with SHOA to schedule referees for league and non-league Tri-City home games.
3. Develop templates to reliably schedule and track games
4. Coordinate with TCE hockey director to secure and confirm home game ice slots at TGIH.
5. Prepare club schedule information and upload onto TCE website.
6. Coordinate with team coaches, if possible, on goals for non-league games.
7. Coordinate with Tournament scheduler regarding tournament dates.
8. Complete all CBHL forms and provide to CBHL for league schedule.
9. Resolve CBHL game conflicts that result from initial schedule submissions.


During the Season 
1. Work with other hockey club schedulers to schedule 8U Tri-City Eagles CBHL league and non-league games (October - November). 
2. Work with SHOA to schedule referees for 8U league and non-league Tri-City home games.
3. Weekly confirm league and non-league games and provide schedule to TCE team managers.
4. Weekly confirm referees for TCE home games with SHOA.
5. Adjust schedule as needed due to game cancellation due to scheduling issues and weather events.
6. Notify CBHL of league game changes.
7. Upload the game and practice schedule and changes as they occur to the TCE website. 


Purchasing Director 


Purchasing:
- Secure competitive pricing, create purchase orders and manage vendors
- Supply tryout & practice jerseys
- Coordinate game jerseys, socks, and shells for all players
  -   Assist with number assignment for players on all teams
  -   Identify duplicates & work with families to understand the policy
  -   Purchase and distribute all of the above
- Communicate timeline for gear purchase & distribution to team managers
- Coordinate purchase of warm-ups
- Coordinate purchase and supply of warm-ups for coaches 
- Coordinate purchase and distribution of TCE spirit wear
- Identify opportunities to sell spirit wear 


Rules & Policies Director 


For this position, a legal background is preferred.

 

Responsibilities:

- Expert understanding of rules and policies of USA Hockey, the PVAHA, and the CBHL

·      Monitor and ensure TCE compliance 

·      Serve as liaison for matters of discipline


- Formulate, implement and monitor: 

·      rules, procedures and proceedings of the Rules and Ethics Committee, (which will address issues of ethics, conflicts of interest, club rules and policies, compliance with club governance and such other similar matters as may be warranted from time to time);  

·      rules and procedures for the selection and seating of the members of the Advisory Board and their successors;

·      club strategy and actions to retain players.

 

- Ensure all policies are posted publicly on the TCE website.


Tournament & Hockey Events Director 


For this position, strong organization skills and attention to detail are required.  A background in event planning is encouraged.

 

Work with scheduler, hockey director, respective coaches and team managers to plan the season with each team.

 

Responsibilities:

- Oversee the execution of special hockey events (Mites on Ice, Try Hockey for 

Free, Games at Verizon Center,  Hershey Rink of Dreams, college visits, etc.).

 

- Oversee the execution of each team's tournament plan: (Submit registrations; 

submit paperwork: rosters, waivers, etc.; work with treasure to coordinate payments.

 

- Provide tournament cost input to treasurer for budgeting and planning.

 

- Coordinate player billing for separate payments incurred with tournaments and events that are paid through the club; (i.e. Lake Placid fees, Verizon tickets, etc.)

 

- Oversee the coordination of hotels for travel tournament (Work with team managers to gather room requirements; provide hotel preferences to tournament companies and provide room requirements to hotels/tournament companies).

 

- Club contact for tournaments (Work with coaches and hockey director to resolve division issues; address questions to assist tournaments with team placement).


Treasurer 


- Create & maintain club budget.  Develop pricing strategy for player tuition and team fees.
- Maintain bank accounts and credit card accounts
- Maintain accounting system for the club via an approved double entry computer accounting system with transaction audit trail
- Maintain accounts payable, tracking all club expenditures and payments.  Pay vendors. 
- Maintain accounts receivable. Invoice members for moneys owed. Handle collections as needed from delinquent accounts.
- Maintain merchant account, allowing club to receive payments via credit card/ach 
- Provide financial transaction oversight 
- Manage cash flow
- Provide financial reporting to advisory board and corporate Board of Directors
- Provide all financial and accounting information to outside accounting agency (CPA) for audit.  Provide support to audit
- Responsible for ensuring tax returns are properly filed each year (Federal, state, personal property, etc.). Treasurer shall provide all financial and accounting information for taxes. Returns to be performed by outside accounting agency (CPA) where applicable
- Perform payroll functions for club employees (if required)



All elected positions are a three-year term.
